Question: Will PEPPAA run on 64b versions of MS Office? Answer: Current versions of PEPPAA have been written to run on 32b versions of MS Office/MS Excel, and will not run on 64b versions. The 64b versions of MS Office/MS Excel have been available for over a decade, but MS always advised installing the 32b version because most of the Add-Ins would not run on 64b versions. This advice appears to have changed recently and 64b versions are now being recommended. A 64b version of PEPPAA will be available in the coming months, this will be offered to all existing Users free-of-charge, enabling them to upgrade to MS Office 64b. Naturally, data migration services will be available to ensure that your valuable data is protected. Top Tip: If you would like to check which version of Excel that you have, watch the video below.

Question: Will there be a version of PEPPAA for MAC machines? Answer: Sadly, the version of MS Office implemented on MAC machines is substantially different from the Windows versions, which prevents the VBA code from working as intended. There are currently no plans to produce a MAC version of PEPPAA.

Question: I cannot get the Macros to work, I keep getting an error message and when I open PEPPAA, I am unable to see the yellow bar that allows me to Enable Content. Has something changed? Answer: Yes, it appears that microsoft has added new functionality protecting Windows from files containing Macros. If you open PEPPAA and see a red bar at the top of the spreadsheet, then the Macros cannot be enabled (see the image below). Follow this additional procedure to correct the issue: Close PEPPAA Open Windows File Explorer and go to the folder where you saved the file Right-click the file and choose Properties from the context menu At the bottom of the General tab, select the Unblock checkbox and select OK Re-open PEPPAA and you should see the normal yellow bar at the top of the spreadsheet that will allow you to Enable Content If you don't see the Unblock checkbox in properties, then visit this Microsoft support page for further help; https://support.microsoft.com/en-gb/topic/a-potentially-dangerous-macro-has-been-blocked-0952faa0-37e7-4316-b61d-5b5ed6024216

Question: The following question came in from a PEPPAA user, regarding the transition to a new financial year. Please could you let me know if I need to save a new version/workbook of PEPPA for the new year, or should I continue to add projects to the version I've been using in 2021/22? Answer: PEPPAA was designed to hold all of your historical records, because the more data recorded the more accurate the analysis tables will become. I would recommend continuing with the same copy of PEPPAA and make full use of the filters on the analysis tables to separate out specific years. The analysis tables have filters set in cell B2, some in B3, and all can be filtered from either cell A4 or A5. Don’t be afraid to play with the filters on the tables, although I would recommend saving any newly entered data before-hand in case you need to close the file to clear any changes. Enjoy!

Question: Does PEPPAA manage and report business expenses? Answer: No, PEPPAA does not allow for expenses to be managed because it is intended to be a business managemet tool rather than an accounting tool. PEPPAA collects and reports data that enables you to make strong business decisions to set the future direction of your business and to provide solid proof of past performances when needed. It is likely that HMRC's drive towards digital reporting will steer every business towards a cloud based accounting package in the future.

PEPPAA version 1.3.1 is currently undergoing testing prior to release. This is an interim release to fix the freeze panes/scrolling issue and will be sent to all current subscribers, free of charge. Also, all current active licence holders qualify for a free data migration service to move their current data to the new version, contact us directly for further information on this service. What is in V1.3.1? Fixes the freeze pane/scrolling issue that can occur when using a form whilst filters are applied to the Main Data Sheet Provision for the Mark as Paid date to be cleared Adds a new column to the System Generated Fields that converts the month number into a word, this can be used or added to any pivot table Modified forms and reformatted column headers removing the £ sign, enabling non-GBP versions to be produced and delivered more quickly. Non-GBP versions are available on request Some code tidying to increase performance

Question: How accurate should I be when timing task and job activities and should I include things like admin time? Answer: The more accurate you can make your activity timing the more accurate and useful your information will be in the analysis tables. Generally do not include time taken for personal needs (coffee, answering the phone/door, patting the dog), and do not include administration time for tasks like invoicing, marketing and meetings for example. Do include tasks that are essential to completing the job, such as author/client queries, either by phone or email or research to check facts or format for example. Consistency and accuracy is particularly important if you plan to use the Quote Builder, as this function already builds in time for personal needs and business administration (see the comment on cell C22 of the Quote Builder). If you would like to record business administration time using PEPPAA, just create a set of tasks on the List Mgmt sheet and book your time to that task for that client, for example Invoicing, Marketing, Quoting. Tip: Microsoft Outlook has a journal function which is ideal for recording time and any project specific notes. To activate the Journal in all versions of Outlook from 2013 onward, press CTRL 8, then click Journal Entry on the ribbon. To return to Outlook Email, click the small envelope icon in the bottom left corner of the Outlook window.

I'm running into problems when viewing the main data sheet in that I can't make it scroll vertically so that I can see the latest additions, which is where I want to be to see my 'current' projects. For instance, I've currently got 47 entries, but I can only see the first 37 of these at the screen magnification I find comfortable (100%, usually). And no amount of scrolling moves it down. The arrow on the vertical scroll bar does nothing. I can move the bar but the sheet remains static. If I change the magnification, I can see more, but it pretty soon becomes unusable. The horizontal scrolling works fine.

Question: Can PEPPAA handle multiple currencies? Answer: PEPPAA has been designed to work with one currency at a time, non GBP versions are available on request at no additional charge. If you work in multiple currencies, then convert any rates into your chosen single currency by using a daily currency conversion site. Alternatively, use a second instance of PEPPAA for records in different currencies but this will split your data. TIP: Windows10 users can use the windows Calculator app for currency conversions (see image below).

Question: When does my PEPPAA trial period begin? Answer: The trial licence is activated when PEPPAA is opened. However, the trial period date will only be fixed when PEPPAA is saved for the first time, irrespective of the saved filename. Every time that PEPPAA is subsequently opened , it will tell you how many days are left on the trial licence.

Question: If my trial period has expired, will the data that I have entered be lost? Answer: When the trial licence expires, PEPPAA will save any data that you have accumulated during the trial period to a file called Your_PEPPAA_Trial_data.xlsx. The data will also be retained within PEPPAA, so if a valid licence key is entered, even after the 90-day period, your data will not be lost and will not need to be re-entered.

Question: Can the mark as paid date be changed once it is entered? Answer: Version 1 does not have a facility to change the mark as paid date once it has been submitted. This functionallity will be added to Version 2. WorkAround: First, re-enter the existing record information on a new Input Record form, and then remove the old, incorrect record using the Delete Record action. Once you have done that, the Mark as Paid field will be ready for your correct paid date. When you delete the old, incorrect entry, ensure that you delete the right record because that action cannot be undone.
